Accountant

JOB DESCRIPTION
The Property Accountant is expected to handle full-cycle accounting for a commercial real estate portfolio with limited supervision.  Essential to success is to provide accurate and timely financial information as required internally by the property manager and corporate management and externally by our clients.  The Property Accountant will have full involvement, responsibility, and accountability for their portfolio, which includes all monthly, quarterly, annual reporting, and other responsibilities as detailed in the job duties.  The Property Accountant is expected to utilize and develop skills such as problem solving, decision-making, time management and effective communication to achieve the desired results.

 

JOB RESPONSIBILITIES
• For new property setup process, oversee accounting setup process,
establish property level data, suite configuration and establish banking
account. Enter and verify lease abstract to accounting system. Load
general ledger and year-to-date balances.
• For maintenance of data, key standing data changes as leases or property
level changes are received from Property Manager. Maintain security
deposit refund and adjustments in accounting system.
• For accounts payable cycle, verify sufficiency of funds for approved
payables. Create checks in accounting system, verify for accuracy
and obtain appropriate authorized signatures.  Initiate and monitor wire
transfers, record non-accounts payable transactions in accounting system.
• For accounts receivable cycle, post rentup and apply concessions. Enter
one-time charges and A/R writeoffs as approved by property manager.
Post A/R payments to accounting system as deposit notification is
received from controller or notifications regarding direct deposits.
• Other general ledger activity includes reconciliation of general ledger
accounts, run interim reports as requested. Prepare adjusting journal
entries, review with property manager and record to accounting system.
• End of month financial reporting consists of run and review pre-cycle
statements, run and post end-of-period activity, and perform initial
quality review. Review financial statements with property manager for
approval.  Close property in accounting system.  Run final financial
statements and provide to property manager.
• Assist the property manager in the preparation, presentation and content of
the annual operating budget and monthly financial reporting package.
• Assist in the responsibility of the property manager for the final review and
approval all annual lease reconciliation and estimates.
• Prepare all accounting documents as required by the property and
deliver to property manager for final review.
• Maintain a positive image in performing daily work both internally and
externally.

 

JOB QUALIFICATIONS
• Bachelor’s Degree in related field.
• Minimum of 2 years experience in real estate accounting.
• Proficient in MS Office Suite, E-Mail.
• Experience with real estate software such as Yardi, MRI, etc.
• Ability to work independently with minimal supervision.
• Excellent communications and organization, follow-through and follow-up,
meet commitments and deadlines.
• Ability to prioritize workload with an attention to detail and willingness to
complete projects in a timely and efficient manner.
• May perform other duties as assigned.

MAINTENANCE TECHNICIAN

JOB DESCRIPTION
The maintenance technician is responsible for maintaining, troubleshooting and repairing or arranging for the repair of all building operating systems on site.

 

JOB RESPONSIBILITIES
• Responsible for all preventive maintenance, necessary maintenance and
repairs to the buildings mechanical, electrical, HVAC, and plumbing
systems.
• Conducts periodic general preventive maintenance on the
mechanical, electrical, HVAC, and plumbing systems.
• Is responsive to tenant rquests in the areas of safety, plumbing,
mechanical, electrical and environmental needs through both personal
contact and work order systems.
• Prepare and maintain maintenance logs and records
• Coordinate contractor, tenant and management approvals for work orders
that require the use of an outside contractor.

 

JOB QUALIFICATIONS
• Associate Degree or equivalent combination of education and experience
• Minimum of 5-7 years previous building operations maintenance experience
• Ability to handle multiple projects and make decisions
• General computer knowledge
• Holds any necessary/required licenses
• Ability to physically perform routine maintenance tasks

Property Assistant

JOB DESCRIPTION
Provide assistance to a team of Property Managers in all administrative aspects of property management administration and reporting. Lead member and first (telephone) response for tenant/customer service requests serving a portfolio of investment and corporate properties. Compile, and assist in the preparation of, various monthly (and other periodic) property operational, administrative and financial reports. Administrative duties require broad experience, skill and knowledge of organization policies and practices for a specific group or individual. Analysis and determination of information requests and follow-up. May directly assist in budget preparation and control activities.

 

JOB RESPONSIBILITIES
• Coordinate with Property Managers in property-related documents   administration – memoranda, letters, monthly reports, proposals, and other   projects from draft using company software packages such as   spreadsheets, word processing and graphics. Ensure timeliness and   accuracy of documents.
• Coordinate tenant service requests pertaining to property operations and   administration. Maintain a professional image to internal and external   callers. Delegate calls to property service technicians and follow up with   tenant and/or property manager as required. Facilitate and maintain tenant   work order system.
• Establish and maintain strong and positive relationships with all property   tenants, vendors and contractors.
• Compile information, prepare and update reports or process other   documents as required: Lease Abstracts, Vendor Insurance Certificates,   Vendor Service Agreements, Vendor Invoices and Service Records,   Property Emergency Call Lists, Tenant Contact Lists, etc.
• Develop and maintain property filing & tracking systems for reports and   documents identified above.
• Assist Property Managers in the annual budget preparation and   development.
• Assist in maintaining service contracts, tracking expirations and prepare bid   packages when necessary.
• Assist with coding invoices for payment and processing.
• Track vendor and tenant certificate of insurance expiration dates, request   renewals, ensure compliance with standard coverage terms and conditions.
• Administer and print various property accounting reports (as produced by   the company’s accounting software) for Property Manager’s review or   compilation in the property monthly (or other periodic) reports – Accounts   Receivable, Check Register, Variance Report, General Ledger, Rent Roll,   etc.
• Administer vendor, RE Tax and other property invoices. Date stamp,   code/process for Property Manager review/approval and enter into the   accounting system.
• Organization and scheduling of meetings. Prepare/organize items in relation   to meetings, including but not limited to, site reservation, preparation of   necessary materials, interaction with attendees, etc.
• Assist Property Managers in the monthly billing, periodic tenant billing   adjustments (PTAR’s) and subsequent collections of monthly tenant rent   and other tenant receivables.
• Oversee copying, faxing and mail distribution within designated area.    Monitor and order general office supplies as needed.  Ensure assigned   office equipment is adequately maintained and secure.  Contact and   coordinate with vendors to service or repair equipment.
• May perform other duties as assigned.

 

JOB QUALIFICATIONS
• Bachelor’s Degree or High School Diploma/General Education Degree   (GED) and a Minimum 1-2 years previous related experience preferably in a   Real Estate Background.
• Proficient in MS Office Suite, E-Mail.
• Working knowledge of Internet and Internet Searching Techniques.
• Familiarity with real estate software such as Yardi, MRI, etc.
• Ability to work independently with minimal supervision and work well under   pressure with strong personalities.

Property Manager

JOB DESCRIPTION
Responsible for the development and implementation of policies, procedures and programs that will assure a well managed, well maintained building, placing maximum emphasis on positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination in conjunction with the owner’s goals and objectives.

 

JOB RESPONSIBILITIES
• Assist in solidifying positive relationship with owner by being proactive and   responsive to owners’ needs and requests.
• Assist senior management in understanding and working with the client to   determine the goals and objective for the performance of the real estate   assets. Assist Vice President and Portfolio Manager in developing and   implementing recommendations to position the property to achieve the   highest value consistent with the owner’s objective.
• Prepare and report information in a timely fashion to designated staff as set   forth by Younger Partners Property Services and the property owners.
• Create and develop upgrades to services being provided by the company in   an effort to exceed client expectations.
• Develop and implement staffing plans and job descriptions as required for   assigned sites and promote continuous education for all on-site personnel.
• Bottom line responsibility for the preparation, presentation and content of   the annual operating budget and monthly financial reporting package.
• Responsible for the final review and approval all annual lease reconciliation   and estimates.
• Establish goals and objectives for the performance of the on-site staff in   meeting set goals and objectives in a timely and efficient manner. Prepare   employee evaluations and make promotion and compensation   recommendations.
• Develop a resource plan with overall accountability for delivering a   completed project, meeting customer requirements, within set budgets and   schedules.
• Prepare lease abstracts and, in some cases, may have final approval   authority of all lease abstracts and final document output.
• Review specifications prepared for service contracts. Responsible for   selection and final award of contract services, vendor negotiation of service   agreements and the overall monitoring of vendor performance to assure full   compliance with standards established within the service agreement.
• Review and approval of payables and receivables as prepared at the site   level.
• Review and supervise all accounting output as prepared by the accounting   department as required by the property.
• Weekly visits to sites to review policies and procedures, personnel   performance, and approving invoices requiring signature. Quarterly   inspections of all properties contained within the portfolio.
• Responsible for short and long range planning for all properties assigned.
• Ensure that all fire, life safety and other safety programs are established and   followed in conjunction with the Environmental Health and Safety Act.
• Maintain a positive image in performing daily work both internally and   externally.
• Responsible for providing input to proposal efforts with the senior   management.
• Work with management to develop and implement outstanding service   programs for clients and tenants within portfolio.
• Work closely with management to ensure the property(s) succeeds as a   profit center or expense control for ownership.
• May be required to conduct market surveys, recommend pricing, develop   marketing programs, and establish broker rapport in support of leasing   objectives.

 

JOB QUALIFICATIONS
• Bachelor’s Degree in business or related field. RPA and CCIM or CPM   certification required.
• Minimum of 8 years experience in property operations.
• Knowledge in all aspects of business including leasing and construction   management.
• Must have been responsible for a portfolio of three or more projects with   direct reports.
• Valid real estate license in States that require it.
• May perform other duties as assigned

Analyst

JOB DESCRIPTION
Primarily research and analysis for our land brokers, clients and prospects. Assist in the preparation of presentation/pitch materials for new business opportunities.

• Perform research using Costar, Land Vision and other research tools
  available to assist with broker requests
• Prepare maps and aerial surveys for listings to be utilized for print and
  digital view
• Analysis of demographic and traffic counts for marketing materials
